Privacy Policy

This Privacy Policy (“Policy”) sets out the basis in how Inclus Pte. Ltd. and its subsidiaries (collectively “Inclus”, “we”, “us”, or “our”) collect, use, and share personal information of users that visit and use our website, web and mobile applications, extensions, online and in-person services (collectively “Our Services”). This Policy applies to personal data in our possession or under our control, including personal data in the possession of organisations which we have engaged to collect, use, disclose or process personal data for our purposes. By using our Services in any manner, you agree to observe and be bound by this policy and the additional terms and conditions referred to on any of the services or available by hyperlink. This policy complies with the following global legal regulations and their updated version: Singapore’s Personal Data Protection Act 2012 (PDPA).

1. Collections, Use, and Disclosure of Personal Data

As used in this Policy, “personal data” means data, whether true or not, about an individual who can be identified: (a) from that data; or (b) from that data and other information to which we have or are likely to have access.

Through our Services, we collect and process personal data that you voluntarily provide to us, including but not limited to your:

  • name, alias, and identification information such as your NRIC number;
  • contact information such as your address, email address or telephone number;
  • gender, nationality, country, city of birth, date of birth, marital status;
  • employment and training history;
  • resume or CV, educational qualifications, professional qualifications, and employment references;
  • health information and disabilities; and
  • photographs and other audio-visual information
 
We generally collect personal data that is provided to us voluntarily by you directly or via a third party who has been duly authorised by you to disclose your personal data to us (your “authorised representative”).
 

We collect your personal data from or through:

  • name, alias, and identification information such as your NRIC number;
  • your communication, interactions, and engagement with us (such as messaging, phone calls, in-person meetings);
  • you contacting us and providing information through our online channels;
  • publicly available sources such as social media sites to supplement the data we have so we can better support you;
  • third parties including, but not limited to, your references and referees, and former institutions and agencies that you were a part of;
  • you directly assessing our Services online, including but not limited to information about your web browser, IP address, and time zone;
  • any other methods so as to enable us to perform our services for you
 

We collect and use your personal data for any or all of the following purposes:

  • providing of services to you;
  • verifying your identity;
  • determining accuracy of your personal data and information provided by you;
  • managing and maintaining our relationship with you;
  • communicating with you; and
  • direct marketing
 

We may disclose your personal data to third parties where necessary for the prior mentioned purposes.

The purposes listed in the above clauses may continue to apply even in situations where your relationship with us (for example, pursuant to a contract) has been terminated or altered in any way, for a reasonable period thereafter (including, where applicable, a period to enable us to enforce our rights under any contract with you).

2. Withdrawing your Consent

The consent that you provide for the collection, use, processing, and disclosure of your personal data will remain valid until such time it is being withdrawn by you in writing. You may withdraw consent and request us to stop using and/or disclosing your personal data for any or all of the purposes listed above by submitting your request via email to our Data Protection Officer at the contact details provided in the Contact Us section.

Whilst we respect your decision to withdraw your consent, please note that depending on the nature and scope of your request, we may not be in a position to continue providing our services to you and we shall, in such circumstances, notify you before completing the processing of your request.

Please note that withdrawing consent does not affect our right to continue to collect, use, process, and disclose personal data where such collection, use and disclosure without consent is permitted or required under applicable laws.

3. Access to and Correction of Personal Data

If you wish to make (a) an access request for access to a copy of the personal data which we hold about you or information about the ways in which we use or disclose your personal data, or (b) a correction request to correct or update any of your personal data which we hold about you, you may submit your request in writing or via email to our Data Protection Officer at the contact details provided in the Contact Us section.

Please note that a reasonable fee may be charged for an access request. If so, we will inform you of the fee before processing your request.

We will respond to your request as soon as reasonably possible. If we are unable to provide you with any personal data or to make a correction requested by you, we shall generally inform you of the reasons why we are unable to do so (except where we are not required to do so under the applicable laws).

4. Accuracy of Personal Data

We generally rely on personal data provided by you (or your authorised representative). In order to ensure that your personal data is current, complete and accurate, please update us if there are changes to your personal data by informing our Data Protection Officer via email at the contact details provided in the Contact Us section.

5. Retention of Personal Data

We may retain your personal data for as long as it is necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws.

We will cease to retain your personal data, or remove the means by which the data can be associated with you, as soon as it is reasonable to assume that such retention no longer serves the purpose for which the personal data was collected, and is no longer necessary for legal or business purposes.

6. Storage and Location of Personal Data

We store your personal data on our databases and data processing servers. We use Google Drive and Amazon Web Services as our databases and data processing servers. 7. Third Parties we use

The following are third parties that we use to store and/or process data:

  • Amazon Web Services to store and process data
  • Google Drive to store and process data
  • Google Analytics to track patterns
  • Firebase for notification messaging
  • Flutter and Opencagedata for collecting and processing location based data
  • Agora for any calls within the app
  • Zoom and Google Meet for any calls and chats outside the app
  • Sentry for error monitoring

8. Security

To safeguard your personal data from unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks, we have introduced appropriate administrative, physical and technical measures such as up-to-date antivirus protection, encryption, and the use of privacy filters to secure all storage and transmission of personal data by us, and disclosing personal data both internally and to our authorised third party service providers and agents only on a need-to-know basis.

You should be aware, however, that no method of transmission over the Internet or method of electronic storage is completely secure. While security cannot be guaranteed, we strive to protect the security of your information and are constantly reviewing and enhancing our
information security measures.

9. Effect of Policy and Changes to Policy

This Policy applies in conjunction with any other policies, notices, contractual clauses and consent clauses that apply in relation to the collection, use and disclosure of your personal data by us.

We may revise this Policy from time to time without any prior notice. You may determine if any such revision has taken place by referring to the Last Updated date at the top of this page. You are responsible to read this Policy from time to time to update yourselves on any changes, and your continued use of our services constitutes acknowledgement and acceptance of such changes.
